ACRL Virtual Meeting Information
As an organization, we understand the importance of having a range of tools available to support and work on ACRL initiatives throughout the year, and we’re committed to making the overall virtual meeting process as smooth as possible for you. Whether you need to request a room for a large discussion forum or a mid-size committee meeting, we're here to assist you as much as possible. However, due to ALA/ACRL staff reductions and increasing demand for meeting space from our 300+ groups, we recommend that you use your own virtual meeting software for your meetings, when possible. You might want to look into getting a free Zoom or a Free Conference Call account.

Useful Feature In Zoom - Live Transcription
We understand how important it is to stay current with accessibility practices. In addition to the resources below, we would like to bring to your attention this useful Zoom feature. Zoom has live transcription/caption. If you need this feature turned on for your virtual meeting, simply say yes to the Live Caption question when you make your virtual meeting request.

ACRL offers its committees and communities of practice groups the use of virtual meeting software for Zoom Meeting (now up to 1,000 attendees) and Zoom Web (now up to 3,000 attendees). Before scheduling your session, we encourage you to review the following resources:

Please use the Virtual Meeting Calendar below to request your meeting. This calendar can be used to book meetings at least 2 weeks before the meeting date. If you need to request a meeting for more than one hour, please contact ACRL Program Officer, Elois Sharpe, at esharpe@ala.org. We will do our best to accommodate your request.
If you need to request a blended meeting for the ALA Conference, please submit that request with your face-to-face AC meeting requests via email. You will be responsible for providing the virtual details to the attendees.
All meeting times on the calendar are Central Standard Time (CST).
{Due to the recent ALA/ACRL staff reductions, effective November 20, 2025, the revised meeting time slot to request a virtual meeting is Wednesday 1 pm-2 pm}.
{Due to the volume of meeting requests received, we ask that you please allow at least fifteen business days to receive your meeting confirmation.}
A confirmation email with the meeting link will be sent to indicate that your meeting has been finalized. As a group leader/meeting coordinator, please share the meeting URL with your unit.
